Your first PMS setup: a practical checklist

Prepare property records, map connections, and validate everyday work before relying on your new PMS.

Prepare your working inventory

Create a private setup checklist for each property. Use the existing channel listing identifier as well as the property name so similar units are not confused. Note active reservations, owner stays, unavailable dates, check-in and checkout arrangements, and the people who need access.

Keep this inventory in a secure place appropriate for guest information; do not put guest records into a public document or a support screenshot unnecessarily. You need enough detail to reconcile the setup, not duplicate every sensitive field simply because an export offers it.

  • Match each property to its existing channel listing.
  • List future stays, owner blocks, and important availability rules.
  • Record the tools responsible for rates, messages, access, and cleaning.
  • Name the person who approves each property as ready.

Choose where each setting will be managed

Before connecting, ask the provider which system should control rates, availability, restrictions, and listing content. Write the answer down per channel. Avoid assuming that changing a setting in the PMS means all other places should still be edited manually.

Hospitable’s documentation, for example, distinguishes listing-management capabilities by channel and connection type. Use the provider’s instructions for your specific setup, and record exceptions where a value must remain managed on the booking site.

Connect and reconcile one property

Follow the provider’s current onboarding instructions and use a supported test method. Where the platform permits a staged setup, begin with one property and reconcile it before extending the configuration. If a provider requires a different sequence, agree on the checks and responsibilities beforehand.

Do not treat a matching reservation count as a complete check. Compare dates and property assignments, then inspect blocks and rules. Airbnb’s calendar-import documentation warns that some blocks from another calendar may not transfer. Calendar appearance needs to be checked against the intended booking behavior.

Turn on messages after checking the schedule

List every system currently sending guest messages, including native channel tools and co-host arrangements. Decide which one is responsible for each type of message. Preview the actual guest-facing text with a supported test reservation or provider preview, and check what happens when details are missing.

Activate a small set of messages first. Keep a human review step for unusual stays and changes. Your setup is easier to troubleshoot when you can identify one change that caused a problem instead of introducing several integrations and automations at once.

Use a ready-to-operate checklist

Before handing over daily operations, ask another team member to follow your written workflow. Let them find the next arrival, identify the checkout task, and explain where to report a discrepancy. If the instructions only make sense to the person who configured the system, the handover is incomplete.

Keep unresolved items visible. Record the observation, who owns it, and what evidence will close it. Do not label setup finished while an essential availability or guest-communication question remains unanswered.

  • Team members have appropriate access and know their responsibilities.
  • Messages have been previewed and duplicate senders addressed.

Common questions

Should I connect every integration on day one?

Start with the integrations required for the initial workflow. Add optional ones after you can verify their effect and identify who maintains them.

Does importing a calendar complete onboarding?

No. Reconcile the information and settings your operation needs. A calendar feed is not evidence that every guest record, payment detail, or workflow was transferred.
